Uploading guest lists

You can upload an excel spreadsheet with the names, Synergetic IDs and room requests of guests for a booking.

Note: Synergetic community members can also upload guest lists for their own bookings through the Accommodation Booking tab on the Community Portal. Guests lists uploaded through the Community Portal cannot specify Synergetic ID or room requests: they must be linked to community members and allocated rooms manually. See Allocating rooms. Creating a guest list spreadsheet

Note: Synergetic only supports Microsoft Excel 2003 and 2007. If you have a later version, select the 97-2003.xls format when saving.

To create a list of guests for a booking:

  1. Open Microsoft Excel.
  2. Across the first row of a new spreadsheet type:

    Note: Synergetic requires the Surname and Given1 columns; the other columns are optional. Columns can be put in any order.

  3. Type in the personal details of the guest in the row beneath.
  4. If a guest is a member of your Synergetic community, type in their Synergetic ID in the ID column.
  5. If a guest has a specific room request, type in the object ID of the room in the Object column.

    Note: You do not need to fill in every column. Synergetic only requires the Surname and Given1 cells and ignores blank cells in any other column.

  6. Repeat steps 3 through 5 for any other guests.
  7. Save the spreadsheet in the .xls (97-2003) format.

Uploading a guest list spreadsheet

To upload a guest list spreadsheet to a booking:

  1. Select Accommodation > Booking Allocation from the SynWeb main menu.

    Tip: You can also access the Booking Allocation window from the Accommodation Booking List window by selecting a booking and clicking Action > Allocate Room.

  2. Select the booking you want to upload a guest list for from the Select Booking drop-down list.

    Note: You can use the Booking Criteria filter fields to narrow down the bookings in the Select Booking drop-down list. See Booking Allocation window.

  3. Click Browse... button (Browse ellipses, Synweb).gif.

    The Choose File to Upload window is displayed.

  4. Select the guest list spreadsheet you created.
  5. Click Upload button (synweb).

    The guest list is updated.

    Tip: If you include the Synergetic ID in your guest list file, SynWeb automatically links those guests to the appropriate Synergetic community members. See Linking guests to community members.
