Photo Maintenance window

The Photo Maintenance window is used to:

Fields

Field

Description

Campus

Select to filter photos for the campus.

Year Level

Select to filter photos based on the year level of student or staff records.

Find Surname

Locate the first record that matches one or more letters typed in.

For example, because the filtered list contains Arnold Diamond, if you type dia in the Find Surname field, the record is selected.

Photo Maintenance (Find surname field, cut down)

Type

Select to filter photos based on either:

  • the type of community record
  • orphaned photos, which are photos without a corresponding community record.

Active

Select to filter photos based on students' Active status.

Form

Select to filter photos based on the form of student or staff records.

Tutor

Select to filter photos based on the tutor of student or staff records.

House

Select to filter photos based on the house of student or staff records.

Photo Exists

Select to filter photos based on whether the photo exists or not.

Note: The Ignore option is the default selection, where there is no filtering based on whether the photo exists or not.

Tagged IDs

Select to filter photos based on whether the ID is tagged.

Photo Source

Specify the source of the photo(s) when loading one or more images.

Grid area fields

Field

Description

ID

Community ID.

Name

Community member's name.

Type

Type of photo:

  • student
  • staff
  • other.

Campus

Campus code. Campus codes are configured using the luCampus lookup table.

Year Level

Year level of the student or staff member.

Form

Form of the student or staff member.

Tutor

Tutor group.

Boarder

Boarding status. Boarding statuses are configured using the luBoarder lookup table.

ModifiedDate

Date the photo record was last modified.

ModifiedBy

Synergetic user that last modified the photo record.

SourceDesc

Source description from the Photo Source field.

PhotoType

Type of photo (e.g. JPG).

FileYear

File year.

Buttons

Button

Description

Launch button

Launch Community Maintenance for the selected record.

See Maintaining community members in the Community manual.

Extract to File button

Extract the image from the database and save it to the selected directory. The File name defaults to the ID of the selected record.

Save Image To window (MS Windows)

Extract ALL to Files button

Extract all images from the database and save them to the selected directory. Each of the saved files is named with the corresponding ID of the record.

Browse for Folder window

The following window is displayed confirming the number of images extracted.

Photo Import/Export window (extract all to files)

Load from file button

Load a photo against the selected record.

Open window

Prior to loading, you must be able to see the student's record in the list of names.

Photo Maintenance window (grid area, cut down)

Load ALL from Files button

Load all of the files from a directory on your hard disk or network drive, against the records in the photo database.

Each of the images must be in ID.jpg format and are linked to the records in the photo database using the ID of the student, staff member or community member.

If images already exist, you can accept whether to load them or not.

Confirm image overwrite window

Prior to loading, you must be able to see the student records in the list of names. For example, if loading multiple photos make sure that you have first filtered on all students.

Delete button

Delete the selected record.

Help button

Display the following help dialog window.

Close button

Close the Photo Maintenance window.
