Searching for pastoral care information

When you first start Pastoral Care Maintenance from the SynWeb menu, the Pastoral Care Search Criteria window is displayed to allow you to find the students you want.

Note: You can also access this window by clicking the button on the Pastoral Care Maintenance window.

How to use the Pastoral Care Search Criteria window

On the Pastoral Care Search Criteria window you can:

• Click , leaving all fields blank. This finds all current students in SynWeb and presents them in a search grid.
• Restrict the search by entering information in one or more fields, and then click . You can enter all or part of a name in a field and use wildcard characters to further narrow the search. See Using wildcards to search in the Introduction manual.

  The more fields that you use to search on, the more filters you apply so that less data is returned. Less data for SynWeb to process means that less time is taken to retrieve the data.

Note: Make sure that you enter the required data into the corresponding fields in the correct format. For example, you must enter the ID as a number and not a letter or alphabetic character.

• Click a letter of the alphabet to display a search grid of all students whose last name starts with that letter.

  

• Collapse the navigation bars when the first student is displayed, otherwise navigation bars are displayed open based on your last use.

At any stage you can change your selections. To do this, click and then make your new selections.

Fields that you type in are not case sensitive and can be entered in either upper or lower case or a mix of upper and lower case. For example, name fields are not case sensitive.

Tip: Fields that have a drop-down list to choose from, such as Campus or House, are case sensitive. We recommend that you always select these fields from the drop-down list rather than typing them in.

Choosing a student from the search results

The students that fulfil your search criteria are displayed in a grid.

You can further filter the search results by selecting one of the filter options. Select:

• All to display all grid entries
• Entries only to display only students who have pastoral care items entered
• Unviewed only to display only students with pastoral care items or comments that you have not yet viewed
• My linked items only to display students with items linked to the current user
• My lined unviewed items only to display only students with items linked to the current user that you have not yet viewed.

  Tip: You can also select Show Photos to display photos of the students.

  

Select the icon to open the Pastoral Care Item window for the student. See Pastoral Care - Details tab.
