Creating a task template

To create a task template:

  1. Click New Task (No Template)... button (ellipses).

    The User Task window is displayed.

  2. Type a description in the Summary field and add any further instructions in the Description tab.
  3. Link a maintenance module to the task using the Linked to Tasks dropdown, if required.
  4. Click Reallocate button to reallocate the task to a different staff member, if required.

    Note: Tasks are allocated to the creator of the task by default.

  5. Click the Advanced tab and to add information relating to:
  6. Click Add subtask button (workflow tasks) to create sub-tasks, if required.
  7. Repeat steps 2 through 6 until all sub-tasks have been created.
  8. Ensure the top level task is selected and click Save Task As Template button (workflow tasks).

    The Save Task as Template window is displayed.

  9. Edit the Template Name, if required. This description identifies the template.
  10. Select Link to Module to link a maintenance module to the template, if required.
  11. Clear the Always Allocated To field if this task is not always allocated to you.

    Note: The Allocated To ID field can be changed when the template is used. If many different people will have this task allocated to them, keep this field selected.

  12. Click Reallocate button to allocate a different community member to the task, if necessary.
  13. Edit the Estimated Duration.
  14. Select a Template Availability field.

    Either:

  15. Click OK button.

    The saved template is displayed in the Task window.
