Creditor invoice posting actions

Use the Posting Action window to:

Closing off a posting

Note: The Close Off report now lists the Purchase order number.

To close off a posting:

  1. Click Close Off.

    The following warning is displayed.

  2. Click Yes button.

    The Print dialog box is displayed.

  3. Click Print button.

    The posting entry is printed. The following message is displayed.

Modifying summary information

To modify posting summary information:

  1. Click Modify Summary Information.

    The Modify Creditor Invoice Summary Information window is displayed.

  2. Edit the posting date, invoice description or control amount.

    You cannot edit any other summary options.

  3. Click OK button.

Modifying invoices

To modify invoices:

  1. Click Modify Invoices.

    A list of outstanding invoices for the selected creditor is displayed.

  2. Double click the invoice to be modified.

    The following warning is displayed.

  3. Click Yes button.

    The Creditor Invoice Entry - Invoice tab is displayed.

  4. Make the required changes to the invoice.

Deleting invoices

Note: You can only delete one invoice at a time.

To delete an invoice:

  1. Click Delete button.

    The Delete Creditor Invoice Entry window is displayed.

  2. Double click the invoice to be modified.

    The following warning is displayed.

    Confirm - About to delete Invoice

  3. Click Yes button.

    The invoice is deleted.

Printing cheques

To print a cheque:

  1. Ensure cheque stationary is loaded in the printer.
  2. Click Print Cheques.

    The Print dialog box is displayed.

  3. Click OK button.

    The cheque is printed.

Creating a different or new posting

Note: Select to keep an invoice open while creating a new or different posting.

To create a different or new posting:

  1. Click Different/New Posting.

    The Select Creditor Invoice to Process window is displayed.

  2. Click Open button.

    The Creditor Invoice Entry - Creditor tab is displayed.

  3. Click Find... button.

    The Creditor Search window is displayed with a list of matching creditors.

  4. Select the required creditor and click OK button.

    The Creditor Invoice Entry - Invoice tab is displayed.

  5. Enter the invoice details.

Printing the audit print for posting

To print an audit print for posting:

  1. Click Audit Print.

    The Creditor Invoice Entry - Audit Print window is displayed.

  2. Save, print or close the audit print.

    Note: The Audit Print report now includes any Purchase Order details.

Abandoning a posting

Note: This deletes both the posting and all invoices that have been entered into it.

Note: You must have Update privileges for CreditorInvoiceEntry:AbandonPosting to be able to abandon postings. See Group/User Security Maintenance - Groups View in the System maintenance manual.

To abandon a posting:

  1. Click Abandon Posting.

    The following warning is displayed.

  2. Type abandon.
  3. Click OK button.

    The following message is displayed.

    The invoice is deleted from the list of invoices for the creditor.
