Authorising statements and invoices

Statements and invoices must be authorised before they can be emailed, printed or displayed on the Community Portal. To authorise statements and invoices, you provide an authorisation date for the statement run. The statements and invoices are displayed on the Community Portal only after this date.

To authorise statements and invoices:

  1. Select Debtors > Debtor Statements... from the Synergetic main menu.
  2. Either generate a new statement run, or select an existing statement run. See Generating debtor statements.
  3. Store the statements in the database. See Storing statements in the database.
  4. Generate and store invoices if required. See Generating and storing invoices.
  5. Click Authorise Publish on Portal button.

    The Authorisation Date window is displayed.

  6. Select a date on which to release the statements on the Community Portal.
  7. Click OK button.

    Note: You cannot delete a debtor from a statement run after statements and invoices have been authorised.

    The Debtor Statement Print window is displayed with a green tick next to the Authorise Publish on Portal button button.

    Tip: You can see who authorised the statements and when by hovering your mouse over the green tick.
