Timetable Maintenance - Calendar Events tab

Use the Calendar Events tab to:

For example, a number of public holidays fall on a Monday. Your organisation decides to have the Monday timetable on a Tuesday for that week to even out the lessons the students are receiving. By default, this would mean that all the days would move up one; the Tuesday timetable would be on Wednesday, the Wednesday timetable on Thursday and the Thursday timetable on Friday. The Friday timetable would occur on the following Monday, unless you created another calendar event to skip it and return to the regular timetable order that week.

Field

Description

Calendar Seq

Sequence number for the calendar event.

The sequence number is automatically created by Synergetic in the order the calendar event is created.

Calendar Date

Date of the event.

Calendar Type

Code for the type of day:

  • For simple timetables this can be a code for the day. For example:
    • D1 could denote day one of the timetable.
    • D0 could denote a non-teaching day. When entered as a calendar event for a given date the timetable is no longer viewed for the day in Current Student Maintenance, Staff Maintenance and Attendance Maintenance.
  • For multiple timetable groups, the timetable group code (TTG) and the code for the day (DXX) can be in the format of TTG_DXX. For example:
    • JUN_D1 is day one of the junior school which starts on 2/2/2016
    • MID_D7 is day seven of the middle school which starts on 4/2/2016.

Note: If your organisation uses timetable groups, it is strongly recommended that you always specify the timetable group when creating calendar events.

Some calendar events require a different timetable definition or a different timetable day. For example:

  • days might start an hour later or earlier without the periods or classes changing
  • a public holiday on Monday might require Monday's classes to run on Tuesday.

This can be combined with timetable groups.

  • D=D6 uses the day six timetable definition but keeps the regular class schedule of the specified day
  • D3=D6 uses the day six timetable definition and the schedule of day 3 in the timetable.
  • SEN_D4=D3 uses the day three timetable definition and the schedule of day four in the timetable for the senior school.

File Type

Type of class. For example:

  • academic classes
  • music classes
  • sport
  • and so on.

Class Campus

Campus the class is held at.

Class Code

Code for the class the event relates to, if any.

Location

Code for the location of the event.

Location Contact

Contact person at the location where the event is to be held.

Description

Description of this calendar event.

Comment

Include any comments about this calendar event.

Result

Field organisation can record the event's result.

Buttons

Button

Description

Move to first record button

Go to the first record.

Move backwards 10 records button

Go back 10 records.

< button

Go to the previous record.

Move to next record button

Go to the next record.

Move forward 10 records button

Go forward 10 records.

Move to last record button

Go to the last record.

Insert new record button

Insert a new record before the highlighted record.

Delete current record button

Delete the current record.

Post changes of current record button

Save any changes you have made to the current record into the database. Changes are automatically saved when you move to another record.

Cancel changes made to current record button

Discard any changes you have made on the current record.

Copy schedule button (Timetable config)

Apply selected schedule details to a new timetable config.
