This section outlines the changes to the Attendance and absence events manual arising from changes made to Synergetic (version 59.15-v60.37).

Displaying absence events using tag lists

Override time available for slips.

Additional information has been provided when entering absence slips, particularly for the Period and Time fields. The Time field can be automatically populated depending on timetables and lookup table settings.

Recording absence slips

Absence slips search for overlapping absence events.

When submitting absence slips, Synergetic searches for overlapping absence events up to an hour after the start of the absence slip being entered.

A note has been added to the topic just after step 14, including a representative screen capture of the dialog window displayed.

Confirm window (cutdown)

For all absence types, Synergetic also searches for overlapping absence events with a similar priority. Information about this has been included in the Superseding unknown absence events topic for completeness.

Display teacher's possible absence reasons in the Details area of the Create Absence Event window.

When a teacher submits a nonattendance using the Attendance window, any additional information they entered is also displayed in the Details area of the Create Absence Event window. Create Absence Event - Absence slips (Details area, highlighted)

This information assists the Attendance Officer to:

  • more easily view information
  • use the Use Feedback button button to use the teacher's feedback for the actual details.

This information is available in the Timetable area of the Create Absence Event window.

Use 24 hour time format for all time fields when adding absence events.

An optional 24 hour time format can be used for all time fields on the Create Absence Event window. This allows for quicker data entry using the numeric keypad as the AM or PM does not need to be entered.

Modify the previous absence event from the Create Absence Event window.

A tip has been added at the end of the procedures, providing information about editing the previous absence event by double clicking on the Last Person in the Select Student area.

Do not reset the absence type, reason and comment when submitting slips.

The topic has been updated as the fields in the Details area are not reset after submitting each student. This allows you to organise absence slips with similar details and enter them more quickly.

Allow batch delete of absence events in the grid.

At the end of the day there can be many Expected in/out absence events which did not occur as expected. For example, the students may have arrived at the usual time.

Nonattendance records are linked to each day of multi-day absence events.

When students are marked as not attending on the Attendance window, each nonattendance record is linked to each day of the absence event.

Should a multi-day absence event be modified later, Synergetic checks to ensure that days cannot be deleted when a nonattendance has already been marked.

Optional explosion of multi-day absence events into individual events.

Two topics have been updated to reflect the new configuration option that allows several all day absence events to be created for a multi-day absence. This allows greater control over managing multi-day absences that overlap curriculum days and public holidays.

Modifying all day absences

New setting to disable the creation of unexplained absence events slips when submitting nonattendances for certain classes.

The topic has been updated in the Curriculum manual to include a new Create Absence Events flag.

This allows you to disable the creation of absence events when marking nonattendances for certain classes. For example, when marking non-compulsory sporting events there is no need for an absence event to be created that requires follow up.

Selectively enable attendance entry for different timetabled periods.

The topic in the Curriculum manual has been updated to include a new Attendance Entry flag. This provides the ability to selectively enable attendance entry on some timetabled periods of the day rather than all timetabled periods. This can be useful for organisations or campuses that mark attendances:

  • first and last periods only
  • at the beginning of the day.

In the following example, period one is set for attendance marking in the junior school. Attendance entry for other junior school periods has been disabled.

Unexplained absence events can be filtered for co-curricular activities and sick bay incidents.

Two new topics have been added to explain how to resolve unexplained absence events for either:

  • co-curricular activities using Staff Schedule Maintenance
  • medical incidents.

Attendance Crystal reports are available separately.

The topic has been updated to reflect that attendance reports are available from a new Attendance Crystal Reports Available menu option. They were included under the Student Crystal Reports Available menu option.

  • correct a present student's attendance record when they were inadvertently marked absent
